    Your role in the team

     

    The Facilities Administrator will be responsible for the administration of facilities services and processes that support the core business of our organization, working to ensure the business has the most suitable working environment for its employees and their activities across the ANI portfolio. The successful applicant will work closely with the Facilities Manager and will have a solid background in administrative and facilities functions.

     

    • Assist with the delivery of hard and soft services across the ANI portfolio
    • Provide a point of contact within the facility for gathering or disseminating information concerning facilities-related issues and report to FM
    • Coordinating the work of facilities contractors
    • Ensure the delivery of maintenance contracts and scheduling as agreed to ensure contract SLA & KPI are met
    • Collate facilities paperwork and records pre and post works i.e. RAMS, commissioning reports, service sheets and quotations
    • Assist with health and safety requirements and in ensuring the building and facilities comply with legislation
    • Assist in coordinating multi-disciplinary teams including cleaning, catering, maintenance, grounds, security and waste
    • Assist the FM in planning for future development in line with strategic facilities objectives
    • Develop robust facilities reporting procedures and documentations – space reporting, access control reporting, visitor management, etc
    • Assist the FM with auditing when required
    • Assist with space and desk management
    • Interact with staff, contractors, visitors and suppliers
    • Assist with mail and deliveries management
    • Attend facilities meetings where required and produce subsequent minutes / actions

     

     The ideal person will be able to demonstrate the following competencies:

     

    • Be a proven self-starter with ability to respond quickly to changing priorities
    • Demonstrate the ability to work with tight deadlines and good personal time management skills
    • Have excellent communication and people skills

     

     

    So, what are the essential criteria to apply?

     

    • All candidates must evidence an existing right to work in the UK.
    • Minimum 5 GCSE’s; and
    • 2 years+ previous administration experience in a commercial environment; and
    • Be fully competent in MS Office suite; and
    • Have demonstrable effective communication skills.

     

     

     

    We also have some desirable criteria

     

    • Experience in a similar facilities role
    • Project co-ordination experience
    • Presentation skills and experience.
    • Third level qualification in a relevant field
