New Year | IT Best Practice for 2017

  • 2017 is here, New Year, New Me is what they usually say! Haven't decided on a New Years resolution? Or maybe you've broken it already? What if you had a resolution that's easy to implement and can make a big difference to your business? To help get you started, we’ve compiled a list of practical resolutions which will help your business become more productive in 2017...

    1. Back up your data

    Backing up data is probably something you’ve been thinking about, but likely haven’t got round to putting proper processes in place. With cyberattacks on the rise, there’s no time like the New Year to get back-ups in place. Consider the amount of sensitive data you're currently holding. Ask yourself, what would happen if it was lost or stolen?

    Xperience IT Solutions recommend you create a ‘back-up plan’. Do you currently take offite back-ups? If the answer is no.. consider doing so in 2017.  At a minimum, consider backing up to an external hard drive or USB which is kept off premise. Ideally you should consider having your back ups in the cloud, so this could perhaps form part of your longer-term business strategy. Keep in mind, the rule of thumb is to have your data stored in three places! 

    2. Spring clean- Aim for Inbox Zero

    It’s not unusual to let emails accumulate in your inbox or leave files on your desktop. You might even still be clearing up emails from Christmas. However, don’t be fooled by the ‘organised mess’.  A time will come when you’ll need to put your finger on something quickly- avoid the unnessecary panic! 

    Why not kick-off the new year with some good old-fashioned organisation skills and take steps to maintaining a clutter-free digital life. Start by answering or flagging emails once received and delete anything that doesn't require an action. 

    3. Get rid of legacy systems

    Technology, as we know is constantly evolving at an extremely fast pace. Upgrading to the latest version of business technology will ensure your business is as productive as can be. Using dated systems and hardware will hinder productivity – you probably already spend a great deal of time ‘hanging’ or rebooting.

    Once you switch to the latest technology you don’t need to worry about the cost or hassle of upgrading. Cloud based and subscription solutions usually include automatic upgrades! Time is money, and switching to modern solutions could mean significant time savings – so, make ‘upgrading’ top of your resolutions this year! 

    4. Go Paperless

    If helping the environment isn’t a good enough reason to go paperless, then perhaps cost, time and space saving might be? Did you know that 28 filing cabinets will fit onto 1 DVD? Saving a massive 24 square feet of space!

    Digital is the way to go, so why not go completely paper-free this year?(Or at least take steps toward it!) Start by reviewing your current systems and identify processes thst could be made more efficient by removing paper. Sign-offs for example could be collected on mobile devices, making invoicing and cash collection more efficient. Hopefully you’ll already have followed step 1 and have a back-up plan in place. So that in the event of a disaster, you’ll still have digital copies of your paperwork.
